
A clear inspection agreement helps the buyer and supplier work to the same requirements. Prepare the checklist before ordering, rather than waiting until the shipment arrives. The applicable checks and acceptance criteria depend on the material, product and purchase specification.
Confirm the material specification
Identify the material grade and agreed chemical composition limits where applicable. Ask what documents will accompany the batch and how the reported results are linked to the shipment. Do not apply a steel-media specification to ceramic media without reviewing the relevant material requirements.
Define dimensional checks
State the nominal diameter for balls, diameter and length for cylpebs, or the required dimensions for rods and wear parts. Specify the tolerance, measuring method and sample quantity. For drawing-based parts, reference the approved drawing revision in the order.
Make hardness results comparable
Specify the hardness scale, test method, measurement location and reporting requirements. If cross-section measurements are required, include that in the agreement. Ask for clarification before comparing results reported on different scales or at different locations.
Agree sampling and acceptance
Define the batch or lot, sampling approach, required tests and the process for handling nonconforming results. Include appearance or additional mechanical testing only with a clear method and acceptance criterion. An inspection checklist should not imply that an unspecified test has already been performed.
Check identification and shipment documents
Confirm batch markings, size segregation, packing list and the documents needed at receipt. Photograph and record any discrepancy before discussing it with the supplier.
